Management Services

 

We offer a complete management service, enabling you to enjoy the benefits of a vacation home, without the worry of the day to day management. As well as overseeing your finance, taxation, household and pool management, we also operate a successful rental program in order to service your valuable investment. In response to client demands, we also operate a “one-stop” on-line booking service for villas, attraction tickets, and car hire.

Some of the property services we offer are:

Initial Home Set-up – should you be unable to attend the closing of your property in Florida, we will oversee the completion and do the walk-through with the builder to ensure all works are completed to the highest standard.

Licensing, taxation and legal requirements – your home in Florida needs to be registered with the Florida State Department and with the Department of Revenue for tax purposes. We will attend to these requirements and depending in which County your home lies, the costs will be debited from your escrow account. You will also require a small investment in equipment to meet the statutory requirements for rental homes, ie, fire extinguisher, smoke alarms, emergency exit signs, etc. Again, we will attend to these items on your behalf.

Payment of bills – upon completion of our contract we will request all bills be directed to ourselves by the various utility and cable companies. All payments will be made directly to the relevant parties on your behalf. Should you require, we will set up a direct debit scheme from your bank account to pay your mortgage company directly.

General Property Management – on a day-to-day basis our management team will handle the general administration of your property; this includes regular checks on the home during occupation, as well as when unoccupied.

The administration of your escrow account - to ensure all bills, licenses, contracts, etc are dealt with promptly. Each month your utilities, cable TV and any sundry bills will be debited from your escrow account. Rental income will be paid directly into this account, and you will receive a monthly statement showing all relevant transactions. You can easily direct funds, make payments etc, via our administration office in Durham.

Marketing and advertising your home – we will enter your home into the rental program with all the major tour operators, and through our extensive on-line internet booking system, which has access to both the UK and US vacation markets.

Home Cleaning - the management team are totally committed to the idea that “first impressions are lasting impressions” and only by maintaining the highest standards of cleanliness externally as well as internally, will holiday-makers will be impressed with the property, this ensures that your home will also continue to appreciate.

A full clean will be undertaken after every guest departure and an inventory check will be made.

Lawn Services – we will undertake to do all the mowing, weeding, edging etc, and maintain the highest possible appearance and continued well-being of these areas. Most new homes come with irrigation systems, however, if not, we will be happy to arrange installation and perform regular checks and maintenance.

Pool and Decks – your pool will require regular maintenance and checks. We will undertake to visit all our pools at least twice per week in the summer and once per week in the winter to clean and maintain the chemical balance. In addition to maintaining your pool, we will hose wash your deck and screens at regular intervals and ensure the heating system is switched on/off for guest's arrival and departure.

Pest Control – our pest control service will be initiated immediately upon contract completion. We will spray both externally and internally, lay insecticides and controlling devices to ensure everything is covered. We will then undertake a monthly program of spraying and renewing to ensure continued cleanliness. We also offer a free call out service should any problems unexpectedly occur.

General Property Maintenance and Construction Services – your home in Florida will occasionally require remedial work, for example, exterior painting, shingle renewal, repairs, etc. We will offer you competitive quotations for all necessary works and/or co-ordinate any works you may decide to have done.

A FEDERAL I.R.S. REQUIRED DOCUMENT
Management companies are required to report to the I.R.S. on or before March 31, each year, the income you have received during the year. As a part of this obligation, the I.R.S. requires that we have this form on file.

APPLICATION FOR INDIVIDUAL TAXPAYER IDENTIFICATION NUMBER
Ownership of a vacation home rental is viewed as a small business by I.R.S. You must obtain an I.R.S. Individual Taxpayer Identification Number that is required to file tax returns and report income and expenses incurred as result of the ownership. If you already have this number, you need not complete the form. If you do not have the ITIN please complete the form for each person named on the deed to the property. Please do not forget item 7b. You must insert your National Insurance Number in this space (United Kingdom buyers only). Also important, please provide a clear copy of the picture page of the passport of each person. One picture page copy per sheet.
